HR Administrator

Job Overview

The HR Administrator supports the Human Resources department by managing daily administrative tasks to ensure smooth HR operations. This role is responsible for maintaining employee records, assisting with recruitment, onboarding, payroll support, benefits administration, and ensuring compliance with company policies and labor laws. 

Key Responsibilities

  • Manage employment-based immigration cases (H-1B, L-1, TN, OPT/CPT, green card, etc.) with external legal counsel. 
  • Act as the primary point of contact for employees on immigration matters. 
  • Respond to Requests for Evidence (RFEs), Notices of Intent to Deny (NOIDs), and Notices of Intent to Revoke (NOIRs) in coordination with attorneys. 
  • Ensure compliance with immigration regulations including I-9, E-Verify, and Public Access Files (PAFs). 
  • Prepare and review immigration support documentation and internal letters. 
  • Track visa expirations and initiate extensions or changes of status as needed. 
  • Assist in immigration-related audits and government site visits. 
  • Stay updated on immigration law changes and communicate updates internally. 
  • Handle onboarding and offboarding processes, including documentation, background checks, and exit formalities. 
  • Manage US payroll and benefits administration in compliance with federal and state laws. 
  • Maintain employee records in HRIS/HRMS (Workday, ADP, SuccessFactors, Oracle HCM). 
  • Oversee employment-based immigration compliance (I-9, E-Verify, H-1B, L-1, OPT, CPT). 
  • Act as the point of contact for employee queries regarding HR policies, benefits, and immigration. 
  • Support HR audits and ensure compliance with employment laws (FLSA, FMLA, ADA, EEOC, etc.). 
  • Partner with managers to address employee relations issues and provide HR guidance. 
  • Assist in performance management, employee engagement, and HR reporting. 
  • Review, draft, and manage employee contracts, offer letters, amendments, and legal agreements (MSA, NDA, SOW) to ensure compliance with company policies and US labor regulations. 
  • Coordinate with external vendors, legal counsel, and benefits providers when required. 

Qualifications & Skills

  • Bachelor’s degree in human resources, Business Administration, or related field. 
  • 3–8 years of experience in an HR or administrative role (preferred). 
  • Strong organizational and multitasking skills. 
  • Excellent communication and interpersonal abilities. 
  • Proficiency in MS Office (Word, Excel, PowerPoint) and HR software (e.g., Workday, BambooHR, SAP). 
  • Basic knowledge of employment law and HR best practices. 
  • High attention to detail and confidentiality.
